Duties and Responsibilities of the Preparatory Program Coordinator at the School of Foreign Languages
At the end-of-year meeting that evaluates the preparatory programme, a different faculty member is chosen to serve as Preparatory Program Coordinator for the following academic year. If no one volunteers, the Coordinator is appointed by the Head of Department.
The Coordinator ensures the smooth and disciplined operation of preparatory classes and provides the Head of Department with weekly oral or written updates regarding the educational and instructional processes.
Together with the Head of Department, the Coordinator prepares the preparatory course timetables.
At the beginning of the academic year, the Coordinator collaborates with the adviser of the relevant faculty to monitor the compulsory Preparatory Class registration of students enrolled in the faculty.
When necessary, the Coordinator works in coordination with the Student Affairs Office to ensure that the student list in the Student Information System (OBS) is updated.
The Coordinator distributes duties among the instructors in their curriculum group for the preparation of mid-term exams, end-of-year exams, and both announced and unannounced quizzes. They oversee the entire examination process, organise and chair the final control meeting before the exam, coordinate the evaluation of exam papers, the preparation and announcement of grade lists. The Coordinator is also responsible for retaining a copy of each exam paper and submitting it to the Head of Department.
The Coordinator has the authority to determine the number of midterm exams for English preparatory courses, assignment planning, number of assignments, assessment procedures, and the contribution of these components to the final grade.
The Coordinator regularly collaborates with the instructors teaching in their curriculum group and organises a coordination meeting once a month. After the meeting, the Coordinator prepares the meeting minutes and submits them to the Head of Department.
At the end of each month, the Coordinator collects the absence records of students from the instructors in their group and calculates each student’s total number of absences for that month, reporting it to the relevant Assistant Director.
At the end of each academic year, the Coordinator collects the signed final attendance records from the instructors and submits them to the relevant Assistant Director.
The Coordinator organises the evaluation of appeals made regarding the proficiency mid-term and end-of-year exams and reports the results to the Head of Department in the form of a written statement.
